Position Overview:
Role Title: Outreach Community Lead Coordinator
Employment Type: Non-Permanent Full-time (Renewal is decided by mutual agreement)
Work Location: Tokyo (Wesley Center 2F, 6-10-11 Minami Aoyama, Tokyo); Working from home arrangement available, but expected to work at the office at least 1-2 days a week

※In-person attendance might be required at local/regional events and workshops. Hours of Work: Generally, Monday – Friday (40 hours per week); flexible working arrangements available

※The successful candidate might be expected working on Saturdays/Sundays and night time due to certain event requirement.

Reports To: Richard Okuno, Outreach Director

※Candidate must have a valid work permission in Japan

Responsibilities:

Community Outreach & Engagement

  • Plan, organize, and facilitate nationwide community outreach programs in collaboration with the Outreach Director and regional coordinators.
  • Oversee and track the daily activities of Outreach regional coordinators (Osaka & Okinawa), interns, and event support teams for all-Japan community outreach activities.
  • Develop and maintain strong relationships with key stakeholders, including credentialed mental health professionals, community organizations, local institution and potential corporate partners.
  • Design and implement awareness campaigns and activities to promote TELL’s services and Lifeline training programs.

Overview of Outreach Community Lead Coordinator Position

Workshops & Presentations

  • Coordinate and deliver community workshops, training sessions, and presentations regularly including “TELL Awareness Talks,” Lifeline Awareness Talks, and QPR (Question, Persuade, Refer) training in both English and Japanese.
  • Negotiation pricing and event terms with TELL community partner organizations, crafting proposals and facilitating the invoicing process. 

Team Coordination for Events & Fundraising Management

  • Assist with TELL signature events such as Step Up Challenge, large gathering (Summits/Conferences)
  • Lead and manage community events and fundraising initiatives, including pub quizzes and Pride events.
  • Oversee logistics, marketing, and execution of events to maximize engagement and impact.
  • Provide guidance and support to ensure alignment with TELL’s outreach goals and strategies.

Cross-Departmental Collaboration

  • Maintain active communication and engagement with other departments to enhance organizational
  • effectiveness and support cross-functional initiatives.
  • Support marketing services and promotion of TELL events and/or awareness campaigns with communications/website head
  • Assist the Outreach Director as needed with strategic planning and execution.
  • Grant Writing & Reporting
  • Support preparation of grant applications in Japanese, ensuring accuracy and compliance with funding requirements.
  • Conduct grant report writing in Japanese to document progress, impact, and financial accountability.

Requirements:

  • Bachelor’s degree and 3 years minimum office working experience
  • Excellent interpersonal, communication and organization skills
  • Great public speaking and presentation skills
  • Handles both routine and confidential information in an appropriate, respectful manner
  • Excellent customer service skills, attention to detail, ability to plan and manage multiple tasks

  • Ability to work well as a member of a team
  • Proficiency in Excel / Google sheets
  • Business level English and Japanese native (able to deliver presentations in both languages & business
  • Japanese reading, writing and speaking ability is required to perform the role)
  • Knowledge and experience in mental health or corporate wellbeing coaching principles is a plus
