Overall

Reporting to the Executive Director, we are looking for a skilled HR Administrator who will support and nurture talent by developing policies, managing processes, and ensuring legal compliance. The HR Administrator will be responsible for HR and other administrative tasks in order to make TELL the optimum work environment.

This person will support the finance manager to calculate salary, overtime, and ensure proper compensation of wages and benefits. Depending on requirements, there may be non-HR related finance and accounting tasks where support is needed. 

TELL is a growing organization, and the HR Administrator will contribute to TELL’s culture as an NPO by providing and implementing turnkey solutions that attract and retain the best possible human resources. 

Responsibilities

  •  Organize and maintain personnel records
  •  Update internal databases (e.g. record sick or maternity leave)
  •  Prepare HR documents, like employment contracts and new hire guides
  • Revise company policies
  • Liaise with external partners, like insurance vendors, and ensure legal compliance
  • Create regular reports and presentations on HR metrics (e.g. turnover rates)
  • Answer employees queries about HR-related issues
  • Assist payroll department by providing relevant employee information (e.g. leaves of
    absence, sick days, and work schedules)
  •  Arrange travel accommodations and process expense forms
  • Participate in HR projects (e.g. help organize a job fair event)


Requirements and skills

  •  Proven work experience as an HR Administrator, HR Administrative Assistant or
    relevant role
  •  Computer literacy (MS Office applications, in particular)
  •  Thorough knowledge of Japanese labor laws
  • Excellent organizational skills
  • Strong phone, email, and in-person communication skills
  • Fluent in Japanese and business-level English (preferred)


Locations and Commitments:

  • WFH or Hybrid WFH/WFO
  • Work Hours per month (week): a minimum of 112 ~ hours per month dedicated to this role (28 hours a week)

Candidate Requirements 

  • Japan Resident, nationality not important (but must have proper visa) 
  • Proven HR experience (5+ years) as manager, administrator or other HR position. Sound knowledge of HR functions (pay & benefits, recruitment, legal, employee admin, etc.)
  • People-oriented and results-driven
  • Thorough knowledge of Japanese labor laws
  • Fluent in Japanese and English
  • Competence to build and effectively manage interpersonal relationships at all levels of the organization
  • Proficiency in Microsoft Excel or Google Suite 
  • Ability to work well as a member of a team with other TELL functions, as well as with the TELL Board.
